Questions

Overview

Questions let you capture screening criteria and additional information about each respondent. Every respondent needs to meet certain criteria to be suitable for your project, and questions are how you define and record those criteria.

There are two types of questions:

  • Open question: The answer can be any text.
  • Single choice: The answer must be one of the predefined options.

Open Questions

To add an open question:

  1. Type your question in the "Question" field
  2. Click "Save"

If your question is required, check the "Required" checkbox. Required questions are marked with an asterisk (*) in the interface and must be answered when editing a respondent's details.

Short Versions

If a question is long, you can click "Add short version" and enter a shorter label. Short versions serve two purposes:

  1. Excel export: The short version is used as the column header in the Excel export instead of the full question text
  2. PDF invitation placeholders: The short version becomes a dynamic placeholder you can use in your PDF invitation, e.g. {{Incentive}}

Reserved Short Names

The following short names are reserved because they are used by built-in invitation placeholders and cannot be used as question short names:

date, respondent, salutation, recruiter, address, appointment, duration

If you try to use a reserved name, you will see a validation error.

Single Choice Questions

To add a single choice question:

  1. Type your question in the "Question" field
  2. Enter the possible answers in the "Answers" field — each answer on a new line
  3. Click "Save"

Single choice questions can also be marked as required and given a short version.

Reordering Questions

You can reorder questions by dragging and dropping them. Each question has a grip handle on the left side — click and drag it to move the question to a new position. The new order is saved automatically.

The order you set here is the order in which questions appear when editing respondent details and in the Excel export.

Required Questions

When a question is marked as required, recruiters must provide an answer when editing a respondent's details through the slot edit view. If a required answer is missing, the form cannot be saved.

Note that questions are not enforced during the initial booking flow — a recruiter only needs to enter the respondent's name to complete a booking. Required questions are enforced afterwards when the respondent's full details are edited.

Placeholders for PDF Invitations

You can include question answers in the PDF invitation. To make a question available as a placeholder:

  1. Add a short version to the question
  2. The short version will automatically appear as a text block button in the invitation editor
  3. Use the placeholder {{short_version}} in your invitation text — it will be replaced with the respondent's answer when the PDF is generated

For example, a question with short version Incentive becomes the placeholder {{Incentive}}.

Export & Import

You can export questions from one project and import them into another to save time.

To export: Click "Export" — a JSON file will be downloaded containing all your questions.

To import: Click "Import", select the JSON file, then choose which questions you want to add. Imported questions are appended to your existing list.
