Excel Export

You can export all your booking data to an Excel file at any time. This is useful for importing data into analysis software, sharing results with clients, or keeping records after a project ends.

How to Export

  1. Go to the Dashboard.
  2. Click the "Export" button.
  3. Olivia will generate and download an Excel file to your computer.

The file is named {Project Name} ({date and time}).xlsx.

Exported Columns

The Excel export includes the following columns for each booked slot:

Column Description
# Row number
Booked by Name of the recruiter who booked the slot
Booked at Date and time the booking was made
Slot Status Current slot status (Open, Booked, Show, No Show, Screened Out, etc.)
Respondent Status Current respondent status (Default, Confirmed, Cancelled, etc.)
Check in Check-in timestamp
Check out Check-out timestamp
Duration Time between check-in and check-out (e.g., "1h 30m")
Date Appointment date
Time Appointment time
Mode Mode name (e.g., Focus Group, Interview)
Product Product name
Label Internal label assigned during check-in
Gender Respondent's gender
Name Respondent's full name
DOB (Age) Date of birth with calculated age
Address Respondent's address
Phone Respondent's phone number
Email Respondent's email address
Question columns One column per question in the project, using the short question name as the header (or the full question if no short name is set). Missing answers are shown as "-".
Notes Respondent notes
Admin notes Slot-level admin notes (admin export only)
Last edit Last time the slot was updated

All date and time values are converted to your timezone setting.

Admin vs. Recruiter Export

The export content depends on your role:

  • Admins see all booked slots in the project, including an "Admin notes" column with slot-level notes.
  • Recruiters see only their own booked slots where all required questions have been answered.

Formatting

The exported Excel file includes:

  • A styled header row (indigo background with white text) that stays visible when scrolling.
  • Auto-sized columns for readability.
  • Spreadsheet metadata including the project name and export source.
